How could we improve Flow?

  1. Advanced Subtasks

    I like the new subtasks (and refreshed UI), thanks Flow. However, was hoping for a bit more than just a simple check list. Something along the line of how Todoist handles it, where essentially every task can be turned into a subtask, including separate due dates, comments, files, assignees, etc.

    Is that something that's planned?

    • Prioritize Tasks

      I find that the (White Square) (Yellow Square) and (Red Square) are a feeble method of color coding the importance of tasks. This is because when a task hits Yellow... it is due THAT DAY... and when a task is Red it is already past due. What if you are working on 2 other tasks and that "Yellow" task has crept up on you... and will at least take you 2 days to complete? Now you are putting your current tasks behind, missing the deadline for the yellow task, and having your workflow decimated. Ultimately accomplishing nothing.. and leaving not…

        We plan to address this some time this year. Prioritization is clearly important to teams and the way they work.

      • Project Templates

        It would be awesome if projects could be saved as a template for future use. For instance, anytime we run a sale or promotion the same tasks are repeated for all of our team members. So maybe a drop down when you click to create a new project you could select “from template” then “title of saved project"

        Currently you can create projects and duplicate them the only issue is the templates we’ve created are always in everyones current tasks lists making them cluttered.

          We plan to work on this. It might be helpful to talk to some of you about it, so we’ll be reaching out at some point in the next little while.

        • Option to automatically subscribe to all tasks

          We are using Flow to keep our organization notified and on the same page for the various projects that we share.

          Currently members do not receive notifications unless each individual subscribes to each task.

          This requires MUCH fiddling and paying attention to stay on top of things to make sure you are subscribed to everything.

          Making this worse:
          1. You can't subscribe at the list level, you have to subscribe to each task individually
          2. You can't subscribe a team or group of people, each person has to be entered individually
          3. You can't select multiple tasks at once and…

            This is something we plan to do. We’ll be starting by allowing Project subscription, to better follow the happenings in a single Project.

          • Task start dates

            Add an opportunity to give a task a Start Date, so that it will be hidden until then. This corresponds to the GTD "tickler file" for removing items from the inbox that do not need to be processed at the moment. Tasks could also be made to repeat based on start date or completion date rather than due date, as in OmniFocus.

            • Task reminders

              There are important (flagged) tasks and there are due tasks. But there also are important tasks, that have a due date.

              I would love to get specifically notified about tasks that are important _and_ due today. I don't need a notification on this unimportant task, which is due today, but that I don't really care about. But there are these critical tasks, which are so important, you should not forget them. But you do, unfortunately.

                We plan on solving the problem of knowing when to work on something. Daily and weekly planning is on our roadmap, and that will help you stay on top of upcoming tasks.

              • Collapse all for projects in left navigation

                In the left nav - i would love to be able to collapse all. I have many projects, andr it is difficult when i first log in to getflow and all the porjects in the left nave are expanded. I always have to collapse them one by one.

                  It’s obvious that the sidebar is hurting your ability to focus on what’s most important to you. We’re interested in making projects easier to group and filter, and helping you cut out the noise. Plans to fix this are early stage at this point, but it’s on our radar. Thanks!

                • Mass task editing

                  Add the ability to shift-select or cmd-select multiple tasks and add the same due date and/or tag to all of them.

                    We do plan to allow for mass editing of tasks. It may take some time to get there, but we want to do it.

                  • provide a field for 'estimated' time.

                    this would be really helpful for preparing and planning on workload.

                      While we don’t exactly plan to add time estimates, we are interested in helping teams plan workload and estimate the size of tasks. Keep an eye out for updates :)

                      It would be nice if you wanted to upgrade a subtask into a task. Just drag it from under the task pane to the main task panel in the center.

                      • Work Time Built-In

                        I know integration exists, but it is redundant. Would like to see a built-in simple time management as this is critical to the management of projects (the post-implementation review). The ability to apply "estimated" time, and active time applied (e.g. work log) thus far to tasks and have them roll-up to the parent task as well as project level (actual time) is critical. There are numerous benefits:
                        1. Ability to see the "%" status of a sub-task, task, and project.
                        2. Ability to see difference between estimated and actual time (for future proposals as well as margin loss points in…

                        • Trigger notification for person assigned to task when subtasks are created by someone else

                          Use case: we use subtasks to capture all the changes involved in a visual design update. Assigned visual designer should receive notifications for newly created subtasks.

                          • Enable manual reordering of lists in calendar view

                            The views I use most often in the current Flow are Upcoming/Week and Upcoming/List. In both I do a lot of manual reorganizing, mostly at the start and end of a day but also halfway through. It really helps me keep focused on what I need to attack next. Without the ability to reorder in these views, I'm not able to translate all my to-do's into an actual order of work.

                              We plan to make daily planning much better in Flow this year. We’re building out a workflow, piece-by-piece, that’ll help you keep focused throughout the day. Reordering your next tasks will be part of that.

                            • Kanban for Project Groups

                              Would love to have a Kanban view for Project Groups in which each card shown is a Project rather than a specific task. That way you could get a high level overview of what phase(s) each project is in without having to look at a huge list of individual tasks.

                              • Faster task editing

                                In the old UI, we could quickly edit a task by clicking the pencil (as I remember it), and immediately tabbing through fields to change as required. In the new UI, we have to click a task, wait for the task pane to load, click the Edit button, and then start editing.

                                This reasonably small change has added a lot of time spent waiting while using the app! Is there a way to edit tasks without entering the task pane, similar to the quick entry tool? If not, can you please, please add one?

                                • Separate today's tasks from overdue tasks

                                  I really miss not being able to have old tasks stay on the date when they were initially going to be due.

                                  I get that having them all jump to today and be marked red should be a helpful way of getting actual tasks done, but Classic Flow was great because you could easily track things that weren't done and then re-prioritize them at your leisure.

                                  New Flow makes it so that everything is a jumbled mess all at once, and that makes me less likely to want to use Flow to capture tasks and projects that I'll need to…

                                  • Project Level Communication

                                    For us it's very important to discuss on Project Level.
                                    So a Project-Chat would be very nice.

                                    Yes, we could just create a Chatroom for each Project, but this is not verry comfortable.

                                    Suggestion:
                                    - in the Project-View, there should be a "Chat-Icon"
                                    - the first click on this icon automaticaly creates a (special) Chatroom with same settings as the project (private/public; involved people/subscribers) and opens it in the right pane of the project view

                                        It would be awesome if there was a screen which gave a big picture view of everything that's going on. Like an super-enhanced dashboard

                                        – Seeing timelines (editable) within workspace or across workspaces.
                                        – See approaching deadlines (by week, month or custom dates)
                                        – See recently uploaded files & ability to add more.
                                        – See recent public chats
                                        – The ability to enter notes or assets which aren't attached to a to-do but pertain to the project/workspace as a whole, like a project/workspace summary for reference.

                                        • Improve drag and drop sideway auto-scroll!

                                          Currently, when I drag a task (for example, if I have manual archiving on) to a list that is out of my viewport, only the very last centimeter of the screen will trigger the sideway scrolling. This is very, very annoying as I'm sometimes playing around with drag/dropping a task for > 5 seconds :|
