How could we improve Flow?

    • Task start dates

      Add an opportunity to give a task a Start Date, so that it will be hidden until then. This corresponds to the GTD "tickler file" for removing items from the inbox that do not need to be processed at the moment. Tasks could also be made to repeat based on start date or completion date rather than due date, as in OmniFocus.

      • Prioritize Tasks

        I find that the (White Square) (Yellow Square) and (Red Square) are a feeble method of color coding the importance of tasks. This is because when a task hits Yellow... it is due THAT DAY... and when a task is Red it is already past due. What if you are working on 2 other tasks and that "Yellow" task has crept up on you... and will at least take you 2 days to complete? Now you are putting your current tasks behind, missing the deadline for the yellow task, and having your workflow decimated. Ultimately accomplishing nothing.. and leaving not…

        • Offline mode - especially in the app.

          I live on planes without wifi. I'd love to be able to at least view existing, mark completed and add tasks while offline. When online, all the syncing and delegation happens. Please!!

            We’ll consider ways to support more offline actions in Flow’s mobile apps, but we don’t see offline as an especially good fit for a team-oriented app like Flow. As you can imagine, syncing offline changes is a complex proposition when anyone on the team might also have changed the task during the offline window. Complicated syncing and conflict resolution routines could have an adverse impact on both Flow’s simplicity and its performance.

            As of today, we’re more eager to improve the principal use case of connecting to Flow while online.

          • Notes and files separate from tasks

            I would like to see two areas for notes:

            First the ability to save a note to a task, with basic formatting (bold, numbered lists, bullet lists, outlining).

            Secondly I would like to see a notes repository for teams to store notes that the team can refer to that aren't specially tied to a task. Teams as a whole, and projects often require notes to store things like specifications, configuration details, procedures, etc. Being able to store and organize (hierarchal and tag storage?) while working in Flow would be a great benefit to workflow.

              • Task reminders

                There are important (flagged) tasks and there are due tasks. But there also are important tasks, that have a due date.

                I would love to get specifically notified about tasks that are important _and_ due today. I don't need a notification on this unimportant task, which is due today, but that I don't really care about. But there are these critical tasks, which are so important, you should not forget them. But you do, unfortunately.

                  We plan on solving the problem of knowing when to work on something. Daily and weekly planning is on our roadmap, and that will help you stay on top of upcoming tasks.

                • Private tasks not in a workspace

                  Currently, the inbox is in a workspace - which means that I have to assign an email to the workspace and then awkwardly move tasks around. I want to be able to easily move tasks from an inbox to wherever they need to be - so having an inbox that all my stuff goes into that's then drag and dropped to the right list/workspace would be great.

                    • Advanced Subtasks

                      I like the new subtasks (and refreshed UI), thanks Flow. However, was hoping for a bit more than just a simple check list. Something along the line of how Todoist handles it, where essentially every task can be turned into a subtask, including separate due dates, comments, files, assignees, etc.

                      Is that something that's planned?

                        At this time, we have no plans to further enhance our subtasks with more attributes or in-task-list viewing and editing.

                        First of all, I love love the new look & feel, I love having the task view on the right side, and I love having different workspaces. Bravo!

                          We are planning to make it much easier to quickly enrich your tasks with details, directly from the task title input in the task form and quick task bar, using the same syntax we use with emailing tasks to Flow.

                        • Additional ways to filter and sort by tag

                          Flow would benefit from a way to view tags more effectively than either version.

                          Is there a reason that it can't sit in the sidebar as a navigation item? That then takes you to all tags and the number of tasks assigned to them and you can then select a tag?

                            We understand how powerful tags can be for some (including ourselves) and are looking into ways to improve their usefulness and visibility around the app without adding too much clutter to our interface.

                          • Project Templates

                            It would be awesome if projects could be saved as a template for future use. For instance, anytime we run a sale or promotion the same tasks are repeated for all of our team members. So maybe a drop down when you click to create a new project you could select “from template” then “title of saved project"

                            Currently you can create projects and duplicate them the only issue is the templates we’ve created are always in everyones current tasks lists making them cluttered.

                            • Looping in non-Flow users to tasks

                              Sometimes you want to assign a task to a person that is not using flow. You do not want to invite that person as they might not work that much with you. But you want to assign one task to them.

                              It would be great, if you could assign Tasks to "email addresses" and those people have the possibility to comment and check off the tasks without creating a flow account and without logging in. They just click on a link in their email message, review the task and later check it off with the same link.

                                It would be very nice to be able to set a due date for an entire task list.

                                Presently, my team is using lists as milestones. Each of these milestones naturally has a due date, but it is cumbersome to have to set a due date individually for each task. Being able to set the due date for a list and have all its tasks inherit that due date automatically would make creation and modification much easier.

                                Alternatively, you could let lists have a due date of their own, independent of the subtasks.

                                • Dependant tasks

                                  Our team has too many unactionable tasks in our Workspace because they are dependant upon other tasks being completed!

                                  teamwork.com has the amazing ability to create "dependancies" for tasks (though their implementation is much more clunky than I'm sure Flow could do it). What they do is make the task uncheckable until the primary task is first completed. I think you should take this a step further and move the dependent task out of view (maybe grayed out at the bottom of the list).

                                  • Reporting Feature

                                    It would be great to have a way to create reports that show overall team activity and productivity (our institution is very particular about reporting ROI). Reporting features that I've seen other task management tools use include number of completed tasks, types of tasks completed, average completion time, among others. These types of reports are essential to increase department budget and justify new hires. We love your application so far, but the lack of a reporting tool is a deal-breaker for those reasons.

                                      There are numerous times daily when I want to assign one person a task without them seeing the rest of the tasks on a list (often because it's beyond their pay grade or there is confidential information shared.) But I can't, so I end up having to create list after list based on who's allowed to see that list (often one list for one person?!) rather than being able to keep lists project-oriented or categorical. This creates WAY TOO MUCH confusion within an organization and flies in the face of simple group and list structures. My people end up not…

                                        I really miss not being able to have old tasks stay on the date when they were initially going to be due.

                                        I get that having them all jump to today and be marked red should be a helpful way of getting actual tasks done, but Classic Flow was great because you could easily track things that weren't done and then re-prioritize them at your leisure.

                                        New Flow makes it so that everything is a jumbled mess all at once, and that makes me less likely to want to use Flow to capture tasks and projects that I'll need to…

                                          We don’t have plans to introduce a calendar that scrolls into the past, but we’re reviewing ideas that could allow hiding overdue tasks in the Today view.

                                        • Enable manual reordering of lists in calendar view

                                          The views I use most often in the current Flow are Upcoming/Week and Upcoming/List. In both I do a lot of manual reorganizing, mostly at the start and end of a day but also halfway through. It really helps me keep focused on what I need to attack next. Without the ability to reorder in these views, I'm not able to translate all my to-do's into an actual order of work.
