How could we improve Flow?

  1. Permanently editable description, or editable comments

    Big field for extensive description is main reason why I am using Flow. I really need to change informations about task and non editable stream of commnet is not good way for it.

    • Start/Review dates as well as due dates

      Add an opportunity to give a task a Start Date, so that it will be hidden until then. This corresponds to the GTD "tickler file" for removing items from the inbox that do not need to be processed at the moment. Tasks could also be made to repeat based on start date or completion date rather than due date, as in OmniFocus.

      • Prioritize Tasks

        I find that the (White Square) (Yellow Square) and (Red Square) are a feeble method of color coding the importance of tasks. This is because when a task hits Yellow... it is due THAT DAY... and when a task is Red it is already past due. What if you are working on 2 other tasks and that "Yellow" task has crept up on you... and will at least take you 2 days to complete? Now you are putting your current tasks behind, missing the deadline for the yellow task, and having your workflow decimated. Ultimately accomplishing nothing.. and leaving not…

        • Have an Inbox not in a workspace

          Currently, the inbox is in a workspace - which means that I have to assign an email to the workspace and then awkwardly move tasks around. I want to be able to easily move tasks from an inbox to wherever they need to be - so having an inbox that all my stuff goes into that's then drag and dropped to the right list/workspace would be great.

            Flow would benefit from a way to view tags more effectively than either version.

            Is there a reason that it can't sit in the sidebar as a navigation item? That then takes you to all tags and the number of tasks assigned to them and you can then select a tag?
            A bit like Evernote.

              We understand how powerful tags can be for some (including ourselves) and are looking into ways to improve their usefulness and visibility around the app without adding too much clutter to our interface.

            • List panel is huge, but simple. Task panel is puny, but complex.

              I picture this layout akin to an email inbox - the List panel contains subject lines, and the real content is in the Task panel. Thus, the Task panel should be larger! (At least, on huge monitors like mine...)

                We designed the new Flow to take advantage of the majority of screens that currently use Flow, while sneaking in some optimizations for larger screens. We are, however, also looking into further solutions for those who prefer to full-screen apps on large displays.

              • Task time tracking (Ballpark, Harvest, etc integration)

                As Asana just integrated Harvest for time-tracking (http://techcrunch.com/2013/08/07/asana-integrates-with-timesheet-app-harvest-to-to-track-time-and-measure-productivity/) it would make total sense in my opinion to integrate Harvest in to Flow too.

                Almost always, a task in Flow is a task in Harvest too which needs to be tracked. Integrating Harvest directly in to the Flow tasks would make life a lot easier for a lot of teams I believe.

                • Allow one task to be assigned to one person without that person seeing the rest of list.

                  There are numerous times daily when I want to assign one person a task without them seeing the rest of the tasks on a list (often because it's beyond their pay grade or there is confidential information shared.) But I can't, so I end up having to create list after list based on who's allowed to see that list (often one list for one person?!) rather than being able to keep lists project-oriented or categorical. This creates WAY TOO MUCH confusion within an organization and flies in the face of simple group and list structures. My people end up not…

                  • Separate today's tasks from overdue tasks

                    I really miss not being able to have old tasks stay on the date when they were initially going to be due.

                    I get that having them all jump to today and be marked red should be a helpful way of getting actual tasks done, but Classic Flow was great because you could easily track things that weren't done and then re-prioritize them at your leisure.

                    New Flow makes it so that everything is a jumbled mess all at once, and that makes me less likely to want to use Flow to capture tasks and projects that I'll need to…

                      First of all, I love love the new look & feel, I love having the task view on the right side, and I love having different workspaces. Bravo!

                      Here are a couple features that I would have loved to see come along with this update:

                      The ability to assign tasks to people on my team using the "@" symbol within the title. Maybe if you have more than one person the first one is the one assigned and the others are just subscribers...

                        We are planning to make it much easier to quickly enrich your tasks with details, directly from the task title input in the task form and quick task bar, using the same syntax we use with emailing tasks to Flow.

                      • Advanced repeating task options

                        I have recurring tasks for work that must be scheduled for the first of each month. The problem is that the first of each month isn't necessarily a business day, it quite frequently will be on a weekend. I'd love it if you could add the ability for me to create recurring tasks that occur on the closest business day after the first of the month (or the first of the month if it DOES happen to be a business day).

                          We have 2 jr. graphic designers, 1 creative director (myself), one database dev./designer, and another coder - all of whom work interchangeably on projects.

                          Oftentimes I am assigned a task which I then have to re-assign to my jr. designers. I prefer for them both to be responsible for the task equally, and I want them to feel that this task is just as much the responsibility of one as it is of the other.

                          However, I find that the person who the task is assigned to is often viewed as the sole party responsible... which is NOT the case…

                          • Enable manual reordering of lists in calendar view

                            The views I use most often in the current Flow are Upcoming/Week and Upcoming/List. In both I do a lot of manual reorganizing, mostly at the start and end of a day but also halfway through. It really helps me keep focused on what I need to attack next. Without the ability to reorder in these views, I'm not able to translate all my to-do's into an actual order of work.

                              Flow’s Calendar List view of My Tasks supports manual sorting. Adding manual sorting of My Tasks to the month view is currently under consideration.

                              If you’d like to see manual sorting of Everyone’s Tasks in the Calendar view, we’d love to hear from you to better understand how your team would use that feature.

                                  Offer a landscape (horizontal) mode for iPad. The current forced portrait / vertical orientation is limiting, particularly since many of the iPad cases only support operation in horizontal mode.

                                    I like the idea of a dashboard very much. But the current information it displays are not relevant for me. For everyone who doesn't use Flow as a team, but just for himself (I believe there are plenty), the information about recent changes is entirely superfluous.

                                    There need to be various widgets you can place on your dashboard the way you want. Maybe a short week overview of your tasks. Certain lists that you can choose (and how many items get displayed at once). Maybe even statistics how productive you are (not really relevant, but definitely helps selling and is…

                                      Teamwork is the new-found focus of Flow, but we also understand that while teams need to share and discuss their work together, they also need to go off on their own for most of the day and focus on their own work. So while you won’t see the Dashboard’s focus on activity likely change, we are looking into ways to add more value to it, not only for the team, but for the individual. Adding more widgets to the sidebar here for surfacing your tasks (beyond, simply, the ones due today) are definitely something of interest to us.

                                        Sometimes you want to assign a task to a person that is not using flow. You do not want to invite that person as they might not work that much with you. But you want to assign one task to them.

                                        It would be great, if you could assign Tasks to "email addresses" and those people have the possibility to comment and check off the tasks without creating a flow account and without logging in. They just click on a link in their email message, review the task and later check it off with the same link.

                                            We are planning to incorporate task-less communication within Flow in the future. We commonly create #discussion tasks within Flow, which we complete or convert into more actionable tasks afterwards. This has motivated us into creating a specific discussion feature that better suits this workflow.
